Shared device settings

Shared device settings

A shared device is a printer or multifunction device (MFD) that Print Director tracks. Its settings control how jobs reach it, how they are priced and billed, which print queues belong to it, how meter readings are taken, and which embedded app (controller) runs on it.

Open the settings

  1. In Resource Manager, expand Print Management and click Shared Devices.
  2. Double-click a device on the right, or right-click it and choose Edit. The window opens with the device’s name in its title, and its settings grouped on the left: General, Network, Functions & pricing, Queue auditing, Billing, SNMP and Controller.

To set the defaults for devices you add later, edit <default shared device> in the same list. New devices start with its settings.

To change several devices at once, select them (or use Select All) and edit them together. Each setting then has a tick box beside it: tick it to apply that setting to every selected device. Where the devices’ values differ, the window shows the value from <default shared device>.

When you have finished, click OK + Refresh All to save and send the changes to the PDServers and PDAgents straight away, or OK to save and let them pick the changes up at their next refresh.

General

Device identity

Setting Description
Device Name A descriptive name for the device. Click … to search.
Serial number The device’s serial number. Tick auto to read it from the device.
Model The manufacturer’s model name, for example KONICA MINOLTA bizhub C650i. Tick auto to read it from the device.
Asset number For cross-referencing the device in another system, such as an asset register.
Comment Free text, available in reports.
Location Free text, available in reports.
Region A group of devices, used for reporting. Your site may use a different name for this. Click … to search.

Management

Managing PDServer is the PDServer responsible for the device:

  • the device’s embedded app connects to it;
  • it is told about jobs sent to print queues matched to the device;
  • it requests the device’s meter readings by SNMP, directly or through a PDAgent.

Network

The Network settings say how to reach the device and how print jobs are sent to it. There are two tabs: Printer main board for the device itself, and Fiery for a Fiery print controller, if the device has one. Queues can be set to send jobs to the Fiery instead of the printer (see Matched to Fiery IP address on the print queue).

Setting Description
Host or IP The device’s host name or IPv4 address. Ping tests that it answers; Web opens its web page.
IPv6 The device’s IPv6 address, if used.

Send spool jobs protocol

How released jobs are sent to the device:

Protocol Settings
RAW Port, normally 9100.
LPR Port (normally 515), Queue (the LPR queue name on the device, print by default) and LPR byte counting.
IPP Port and Path (ipp/print by default), plus the transport security and authentication settings below.

For IPP:

  • Transport security: tick Use TLS (IPPS) to encrypt the job. Server trust controls which device certificates are accepted: Accept any certificate, Pin certificate on first use (remember the device’s certificate and refuse a different one later), or CA-signed certificates only. If the device’s certificate is replaced, click Reset certificate pin.
  • Authentication (optional): a User name and Password if the device requires them. Leave the user name blank to print without signing in. Basic authentication requires TLS; without TLS only Digest authentication is supported.

See How to deliver print jobs securely with IPPS.

Job delivery fallback

Send spool jobs connection timeout is how many seconds Print Director waits for the device to accept a connection before treating it as unreachable. When a PDAgent cannot reach the device, the job is relayed through another PDAgent or the PDServer that can. Keep the timeout short, so that printing switches to the relay quickly when a connection fails.

Functions & pricing

Tick each function the device has, and choose the Pricing schedule used to cost it. Copy, fax and scan functions need a controller (embedded app) to be tracked.

Printer function

Setting Description
Pricing schedule The pricing schedule for printouts.
Auto delete unprinted jobs after Deletes jobs that have not been released after this many minutes, for example 1440 for one day or 10080 for one week.
Strip IP address from user names Jobs that reach a Windows queue through the Windows LPD service have the sender’s IP address added to the user name, for example johnsmith (192.168.0.10). Tick to remove it, so the user can be identified.
Use the extracted IP address as the workstation name Records that IP address as the job’s workstation.
Spool-file searches Click Edit search fields… to set up searches that read document details from the print data.

Copier, Fax and Scan functions

Each has its own Pricing schedule. The copier function also has Small channel paper size and Large channel paper size: the paper sizes the device counts as small (normally A4) and large (normally A3), so that copies are priced at the right size.

Pre-print colour estimate

Allow colour in the initial estimate: before a job prints, Print Director estimates its cost. When this is ticked, the estimate can count pages as colour; when it is unticked, jobs are estimated as black and white. Whether to tick it depends on the driver the device uses, not only on whether the device itself prints in colour.

Queue auditing

These settings control which Windows print queues belong to the device, and how Print Director controls the queues it audits.

Queue matching policy

Windows print queues are matched to the device automatically when they meet any of these conditions:

Setting A queue is matched when
Match this device’s IP address or host name Its port prints to the device’s address.
Match by port-name prefix Its port name starts with the text entered.
Queue-name matching Its name starts with the Queue-name prefix. Choose where to look: Do not match queue names, Match queues only on the managing PDServer, or Match queues on all PDAgents.

Matched Windows queue ports

Port policy controls what happens to the port of a matched queue:

  • Leave existing ports unchanged: the queue keeps its port.
  • Route through local PDAgent using LPR: the queue’s port is changed to send jobs to the PDAgent on the same computer, which then controls when they reach the device.

Audited Windows queues policy

For queues whose port still prints straight to the device’s address:

Setting Description
Pause queues pointing to printer IP Keeps the queues paused, so a job cannot reach the device without being released by Print Director.
Capture timing Pause the job immediately, or Only pause once spooling is complete.
Windows spooling Changes the driver’s spooling setting: Leave unchanged, Start printing after last page is spooled, or Start printing immediately.
Advanced printing features Changes the driver’s advanced printing features: Leave unchanged, Disable advanced printing features (jobs spool as RAW), or Enable advanced printing features (jobs spool as EMF).
Disable detection of empty Windows spool jobs Some drivers first send an empty job and then the real one. Print Director detects and handles the empty job; tick this to let empty jobs pass straight through.

Billing

Unregistered users

  • Only allow recorded users to print: jobs from users who are not in Print Director are not printed.
  • Automatically add unrecorded users: such users are added automatically, to the Department chosen in Add to Department. Your site may use a different name for Departments.

Account billing

  • Use the user setting: each job is billed according to the user’s own billing settings.
  • Always bill to the following account: every job on this device is billed to the chosen Account, whatever account the job itself carries.

Users must be allowed to bill that account (their account access in Resource Manager) to print at this device. A job released here by a user who is not allowed stays waiting, with “No access to Account” on the panel, so it can be released at another device. On a device that does not hold jobs for release, such a job is deleted, with a deleted printout record. Logging in at a Konica Minolta panel to copy or scan is not affected.

SNMP

Meter readings

Tick Enable SNMP readings to collect the device’s meter readings by SNMP. Last status shows the result of the last attempt; click Request reading now to take a reading straight away.

Click SNMP connection settings to set how the device is reached:

Setting Description
SNMP Version SNMP v1, SNMP v2 or SNMP v3.
Port and Read community For v1 and v2.
Authentication protocol and Password For v3: MD5, SHA1, SHA256, SHA384 or SHA512.
Encryption protocol and Encryption key For v3: DES, AES128, AES192 or AES256.
Context name For v3, if the device requires one.
Request route Who contacts the device: PDServer then PDAgent, PDServer only or PDAgent only.
Read timeout and Retries How long to wait for an answer and how often to try again.

Read schedule

Choose Hourly at a number of minutes past the hour, or Daily at a set time.

Controller

The Controller Type is the embedded app or tracking hardware on the device:

Controller Type Use
No controller attached Print tracking only, with no app on the device panel.
Konica Minolta Integrated The Print Director embedded app on Konica Minolta devices. See Konica Minolta Integrated controller settings.
Lexmark Integrated The Print Director embedded app on Lexmark devices.
HP Integrated The Print Director embedded app on HP devices.
Unimonitor and CopicodeIP Older external controllers.

The settings below Controller Type depend on the type chosen, and are described in the article for each controller.
